Minibus Hire

Conwy Scout District operates a 17-seater Ford Transit minibus (including the driver), based at the Orme Scout Group in Llandudno, which is available for hire. The minibus is also fitted with a tow bar, enabling towing.

Any adult member of The Scout Association can hire the minibus at Scout rates for use with Scouts at any time, subject to availability.

Outside of school holidays:

1. Any adult member of Conwy District Scouts can hire the minibus at the higher rate for their own use.
2. Any member of another charitable organisation may also hire the minibus at the higher rate, but must not charge passengers a fare. Proof of charitable status will be required.

The driver of the minibus MUST:

• Be over 30 and under 70 years of age.
• Have held a UK driving licence for at least 2 years.
• Have a Section D1 on their driving licence and,
• Have experience driving a minibus or van.
• Any endorsements on the driving licence must be stated at the time of booking and will be assessed on a case-by-case basis.
• Must supply a photo of both sides of the driving licence and a DVLA check code to the booking secretary by email.

If you’re not a member of Conwy District Scouts, your Scout Group/District or organisation will need an additional Section 19 permit from the Department for Transport. A copy of the confirmation is to be sent to the booking secretary by email.

Rates are exclusive of Diesel and AdBlue costs.

WEEKEND HIRE 200 miles and over.

WEEK HIRE (Mon-Fri) under 300 miles.

Please note that until you receive a booking confirmation, your booking is not definite.

Upon booking confirmation, you will receive an invoice. Payment must be made within 7 days. Keys will not be released until payment is received.

You will need to provide the booking secretary with the following:

• A photo of the front and back of the photocard driving licence of the designated driver(s) plus a DVLA check code for each. AND
• A contact telephone number.
• AND
• EITHER their Scout membership number.
• OR the details of your charitable organisation and a copy of the organisation’s Section 19 permit if you’re not using the minibus for Scouting.

This information will be stored securely and only for as long as necessary for the duration of the hire, plus 3 months in case any statutory notices are received.

The minibus can be collected by arrangement with the booking secretary, Ian Goss, by email. Ian will arrange for someone to review your documents and provide the keys.

The minibus is parked in the car park of the Penderyn Distillery, Lloyd Street, Llandudno, GB LL30 2YG. You may leave your car there for the duration of the hire at your own risk. This will be the usual arrangement for hiring the minibus. There is a laminated slip in the minibus for you to place on your car’s windscreen, authorising you to leave it there.

The Distillery operates at specific opening hours, details of which will be provided with your booking information. It should be noted that there is NO access to the minibus or any vehicle kept left in its place outside of these times. Either vehicle needs to be left on the street if no access to the car park is available. And this is to be confirmed to the booking secretary, Ian.

It is also possible for Scout members to collect the keys from Rob Rands.

Please check the minibus thoroughly for any damage or defects and take photo evidence. Please inform the booking secretary of any such photos ASAP.

The minibus must be returned to the pickup location unless alternative arrangements have been made with the booking secretary. Either someone will meet you at Penderyn Distillery to take the keys and check the vehicle, or you will be asked to return the keys to a key safe at 25 Lon Pedr, Llanrhos LL30 1SS. If this is the case, you’ll be asked to send pictures of the minibus to the booking secretary on its return. This is to protect you in the event of any subsequent damage to it.

The vehicle MUST be returned:

• FULL of fuel.
• EMPTY of litter and personal belongings.
• UNDAMAGED.
• SWEPT clean of dirt inside (there is a dustpan and brush in the minibus).
• CLEAN – we don’t expect you to wash it unless it is exceptionally muddy or dirty.

There is a 24-hour filling station by the Venue Cymru theatre or ASDA in Llandudno. These stations do not have a jetwash.

Any problems with the vehicle must be reported immediately to the booking secretary upon return, including any service or AdBlue reminders.

Anyone hiring the minibus for purposes other than for transporting members of Conwy District Scouts will be subject to the following cancellation policy:

If you cancel your booking more than one month BEFORE the hire date, you will receive a refund of the amount paid, less the GoCardless/OSM fees, or be permitted to carry your payment over to a booking on a different date. If you cancel within a month, there will be no refunds, but bookings will be allowed to be
changed to new dates.

A copy of the insurance documents and roadside assistance breakdown cover will be kept in the minibus.

The hirer will be responsible for repairing any damage to the vehicle and/or paying the insurance excess if a claim arises. The hirer will also be responsible for paying any parking fines, bridge tolls, LEZ fines, and speeding offences incurred whilst the vehicle is in their possession.
